How to connect monday.com with internal applications, databases and external platforms using APIs and webhooks safely.
When you need a custom API integration
Native integrations are excellent for common SaaS workflows. A custom API integration becomes useful when you need business-specific logic, data transformation, bidirectional synchronisation, a private system or stronger monitoring.
Typical architecture
Example
monday.com → Webhook → Integration API → Validation / Mapping → CRM or Database → Response / Audit Log
The integration service provides a controlled place for credentials, mappings, retries and business logic.
Working with the monday.com API
monday.com's API uses GraphQL. Rather than calling many fixed REST endpoints, the integration requests the specific objects and fields it needs. Production integrations should minimise unnecessary data requests and handle API errors explicitly.
Webhooks
Webhooks allow monday.com to notify your service when an event happens. Validate incoming data, acknowledge requests quickly and process longer operations reliably rather than assuming every downstream system will respond immediately.
External IDs and mapping
Store stable IDs from both systems. A client name or project title can change; a mapping ID lets the integration reliably find the correct record later. This is essential for bidirectional sync.
Conflict rules and system of record
For every synchronised field, decide which system wins if both values change. Without conflict rules, a two-way integration can create loops or overwrite newer data.
Retries, logs and monitoring
Record request IDs, source records, target records, timestamps and error messages. Retriable failures should be retried safely; permanent validation failures should be surfaced to a person with enough context to resolve them.
Security
Keep API credentials in a secure secret store, scope access appropriately and rotate secrets when needed. Do not embed long-lived credentials in browser code or public repositories.
