Cyprex Sheets AI

Privacy Policy

This policy explains how Cyprex handles information when you use Cyprex Sheets AI, a Google Sheets add-on that helps analyse spreadsheet data with AI.

Last updated: 27 September 2026

At a glance

Your data stays under your control.

Cyprex Sheets AI only sends spreadsheet data when you choose an analysis action. We use that data to provide the requested result and do not intentionally place spreadsheet contents in operational logs.

hello@cyprex.co.za

1. Who we are

Cyprex Sheets AI is provided by Cyprex (Pty) Ltd ("Cyprex", "we", "us" or "our"), based in South Africa. This Privacy Policy applies to the Cyprex Sheets AI Google Sheets add-on and the supporting Cyprex services used to provide it.

2. Information we process

When you use Cyprex Sheets AI, we may process the following information:

  • Spreadsheet content you choose to analyse. This may include selected cells, rows, columns, an active sheet, or multiple sheets, depending on the action you choose.
  • Your instructions. This includes questions or prompts you enter into Cyprex Sheets AI.
  • Technical and usage information. We use an installation identifier and may record metadata such as analysis scope, number of datasets, cell count, processing duration, success status, and rate-limit events.
  • Support information. If you contact us, we may process your name, email address and the content of your support request.

3. How Cyprex Sheets AI works

When you request an analysis, Cyprex Sheets AI sends the data needed for that request from Google Sheets to a Cyprex-hosted backend service. The backend processes the request and uses an AI service provider, currently OpenAI, to generate the requested analysis. The result is then returned to the add-on and displayed to you.

We do not ask for access to all files in your Google Drive. The add-on is configured to request access to the current spreadsheet in which it is running, together with the permissions required to display its sidebar and connect to the Cyprex service.

4. Why we process information

We process information to:

  • provide the analysis, summaries, trends, anomaly detection and other functions you request;
  • operate, secure and troubleshoot the service;
  • apply usage limits and prevent abuse;
  • measure service performance and reliability; and
  • respond to support requests and improve Cyprex Sheets AI.

5. Operational logging

Cyprex uses operational logs to run and protect Cyprex Sheets AI. These logs may include an installation identifier, request type or scope, dataset and cell counts, processing duration, success status and rate-limit events.

We do not intentionally log spreadsheet cell contents, user prompts, API keys or other customer content in these operational telemetry events.

6. Service providers

We use third-party service providers to operate Cyprex Sheets AI. These may include Google Cloud for application hosting and infrastructure, Google Workspace and Apps Script for the add-on experience, and OpenAI for AI processing. Information may be processed by these providers only as needed to provide the service and is subject to their applicable contractual and privacy terms.

7. Data retention

Spreadsheet content and prompts are transmitted for processing when you request an analysis. Cyprex does not intentionally include that content in its operational telemetry. Technical logs may be retained for security, troubleshooting, service performance and abuse-prevention purposes for as long as reasonably necessary for those purposes.

If a future version of Cyprex Sheets AI introduces stored analysis history or another feature that changes how customer content is retained, we will update this policy and provide appropriate notice.

8. Security

We use technical and organisational safeguards designed to protect the service, including restricted service credentials, secret management, request authentication, usage limits and infrastructure controls. No online service can guarantee absolute security, so users should avoid submitting information they are not authorised to process.

9. Your responsibilities

You are responsible for ensuring that you have the right to upload, analyse or otherwise process data through Cyprex Sheets AI. This is especially important where spreadsheets contain personal, confidential, regulated or third-party information.

10. Your rights and choices

Depending on the laws that apply to you, you may have rights relating to personal information, including rights of access, correction, deletion, objection or restriction. You can also stop using Cyprex Sheets AI and revoke its Google Account permissions through your Google Account security settings.

To make a privacy request, contact us at hello@cyprex.co.za.

11. International processing

Cyprex and its service providers may process information in countries other than the country where you are located. Where required, we take reasonable steps to use appropriate safeguards for such processing.

12. Children

Cyprex Sheets AI is intended for business and professional use and is not directed to children.

13. Changes to this policy

We may update this Privacy Policy as the service changes or legal requirements evolve. We will publish the updated version on this page and change the "Last updated" date above.
